General Institution Settings

The institution's administration can set up certain additional settings. To do this, the User must go to the "Settings" -> "General Settings".

On this page, there are the following available settings options, such as:

Auto-Approval of Parent Request

In this setting, the institution's Administrator can choose one of the options: "Enabled" or "Disabled" for auto-confirmation of parent requests. If auto-confirmation is Enabled, any parent who submits a request to add their child to their account will automatically receive confirmation immediately and will see this in their personal account. If auto-confirmation of parent requests is Disabled, parents who submit a request will wait for their child to be linked to their account until the class teacher confirms it.

Restricted Teacher Access to Journal According to Schedule

In this setting, the institution's Administrator also selects one of the options: "Enabled" or "Disabled" to restrict teachers' access to the gradebook according to the schedule. That is, if the Administrator restricts access, a teacher will only have access to their own gradebook(s) but will not be able to open another teacher's gradebook.

Lesson Editing Period (days)

In this setting, the Administrator enters the number of days during which a Teacher can edit the class topic, grades, homework, and other class-related information. After this period passes, the column for that class will automatically be locked for editing.

Teacher Access to Library Management

In this setting, the institution's Administrator can choose one of the options: "Enabled" or "Disabled" for teachers’ access to managing the library. If access is Enabled, Teachers can add books they need by uploading them to the platform under the "Library" Section. If this setting is Disabled, Teachers can only view and read books that were previously uploaded to the portal.

Maximum Number of Annual Vacation Days

In this field, the administration enters the maximum number of annual leave days allotted for Teachers.

Maximum Number of Days Off

The administration specifies in a special field the maximum number of days off a Teacher is entitled to take.

Enable Edit Vacation Teacher

In this setting, the institution's Administrator can choose one of the options: "Enabled" or "Disabled". If Enabled, Teachers can plan their vacation in advance. If Disabled, vacation planning for teachers is handled by the institution's Administration.

Maximum Extra Vacation Days

The administration specifies in a special field the maximum number of additional leave days a Teacher is entitled to take.

Percent Lessons for Absence

This field sets the number, the percentage of missed classes per day for a student. For example, the administration might set a limit of 50% of missed classes in a day. Thus, if a student was absent for 3 out of 6 classes or more, the attendance journal will automatically mark that the student was absent the whole day.

Default Evaluation System

Default grading/evaluation system that is displayed in the Sections settings, Schedule and Classes in the Journal (e.g., 12-point scale, level-based, smileys, A-F grading, Pass-Fail etc.).

Default Attendance Type

The default attendance status/type applied when marking attendance (if nothing else is selected). In most cases, by default it is set up as "Present". But there is a list of options to choose from: Unexcused absence, Medical absence, Excused absence, Reason unknown/Unverified Absence.

Name Format

Enables the configured name display format rules:
- First Name Last Name
- Last Name First Name

Default Currency

Default currency for Programs Payments or GiftShop.

Days Before Current Date In Journal/Days After Current Date In Journal

Automatic Date Filtering: When a teacher doesn't have any classes scheduled for the current day, the journal automatically filters the dates from N days before to N days ahead ( by default 2 days before and 3 days ahead), while retaining the last selected section and subject, allowing a teacher to quickly access and manage relevant information.

Default Timezone

School timezone (affects schedules, reminders, timestamps).

Day Start Time/Day End Time

Start and end of the school day (schedule boundary).

Assignments Reminder Time

Time when home assignment reminders are sent.

Internal Notifications Incidents

Enables/disables in-app (internal) incident notifications.

Email Notifications Incidents

Enables/disables incident notifications via email.

Note Empty Cells

Enables adding comments in the Journal cell next to a specific student’s grade or attendance mark.

Note Color Configuration

Allows configuring colors for notes/comments in the Journal cells.

Internal Notification Individual Upcoming Lessons

Enable/disables in-app personal upcoming lesson reminders.

Email Notification Individual Upcoming Lessons

Enable/disables email personal upcoming lesson reminders.

Final Payment Due Reminder Days

Edits how many days before due date to send the final payment reminder.

Failed Payment Attempts Retries

Number of retries after a failed payment attempt.

First Email Lesson Reminder Delay

Delay/offset for the first lesson reminder email (15 min., 1 hour, 2 hours, 4 hours, 24 hours).

Second Email Lesson Reminder Delay

Delay/offset for the second lesson reminder email (15 min., 1 hour, 2 hours, 4 hours, 24 hours).

First Internal Lesson Reminder Delay

Delay/offset for the first in-app lesson reminder (15 min., 1 hour, 2 hours, 4 hours, 24 hours).

Second Internal Lesson Reminder Delay

Delay/offset for the second in-app lesson reminder (15 min., 1 hour, 2 hours, 4 hours, 24 hours).

Allow Public Student Signup

Allows inviting students to sign-up via invitation URL sent to students' emails. The "Invite" button is displayed in the top right corner on the "Students" menu section page.

Default Value Of Manual Review

Whether manual review is enabled by default (for home assignments).

Custom After Schools Menu

Customization of the “After School” menu (items/visibility):
- 1 - standard
- 0 - customized (contact support team)

Enable Column Editor

Allows users to enable column editing mode to modify the set of columns, their order, and visibility.

Absent Threshold Percentage

Percentage threshold used by absence-related rules/calculations (i.e. At Risk Schools and Programs Widget, etc.).

Enrollment Threshold Percentage

Percentage threshold used by enrollment/status rules/calculations (i.e. At Risk Schools and Programs Widget, etc.).
